The Importance of an Annual System Review: Has Your HRMS System Had Its Annual Check Up Yet?
Everyone Needs an Annual Check Up
Systems, just like people, need an annual checkup to make sure everything is correct and up-to-date. Net at Work believes that technology should be used to its fullest and that means stopping from time to time to examine what is working, what isn’t working and what isn’t being used at all.
We often find that less than 50% of Sage HRMS and other HRMS systems’ functionality is being utilized by our clients. Typically that is because users become enmeshed in the day to day processes and don’t have time to step back and look at the bigger picture of their technology use. That is the purpose of an annual check-up.
Scheduling an Annual System Check Up is Easy.
Scheduling an annual system checkup is very easy to do. Reach out to your Net at Work Account Executive and plan for an hour or so of time. During the appointment, the Account Executive will ask some questions designed to understand what parts of the system are working best for you as well as what issues have you had that are unresolved.
It is a good idea in preparation for the meeting to get a list of issues and/or desires from all users of the system – HR, Payroll, Safety, Training and Recruiting. Users in each of those focus areas will have ideas how to use the system to manage your employees.

In addition to sharing your concerns and wants, the annual check up is a time for the Net at Work team to take a look ‘under the hood’. Are you using best practices in setting up benefits or other components? Is there an easy fix to an issue or annoyance that you are not aware of? In this part of the Annual Checkup, we are looking for technical/tactical ways to use the system better.
However, organizations should, from time to time, step back and look at the greater strategic contribution HR is making to the success of the organization as a whole. To facilitate that process, we recommend that organizations schedule a Business Process Review.
Human Capital Management Business Process Review
An HCM Business Process Review entails an exhaustive review of daily tasks, operations and technology use. It is a deeper dive into the ‘whys’. Why do we do things the way we do? The business process review then can determine the best course of action HR should take to address the needs of the organization.
Business Process Reviews are effective for
- Determining inefficiencies
- Minimizing daily tasks
- Measuring risk
- Introducing new or reengineering processes
- Gaining insight into how HR interacts and contributes to the organization’s success, and
- Evaluating the need to greater digital enablement and technology changes.
Typically, Business Process Reviews include interviews with key players and executives; observing and documenting business processes and comparing the results to industry best practices.
Business Process Reviews can often take several days of effort to get to the root causes and understand how HR does its job. The results, however, can be critical for organizations to thrive and unleash their potential.
