Sage 100 Quick Tip: Previewing a Journal/Register
By: Brett Zimmerman, Senior Business Analyst/Consultant
‘Previewing’ (via Preview button) a Journal/Register in Sage 100 is a convenient and quick option for reviewing ‘data entry to be posted’. However, be careful when using this feature because it could result in the inadvertent loss of functionality. For example:
- If your user logon has security rights to allow for Posting/Updating a Journal/Register upon ‘Previewing’ to screen (but without printing from Preview),
- you are essentially bypassing the audit trail and therefore would have no report/backup of your actual posting. and/or
- you are bypassing the Paperless feature (assuming it’s enabled) and therefore the regular pdf reports/backup won’t be generated.
- If your user logon does not have rights to ‘Post’ from Preview, nothing will occur or show on-screen upon closing the Preview, thereby possibly causing a delay in the data entry being posted.
Note: Both Paperless functionality and the regular Updating/Posting process do not apply when printing from Preview to a printer/device/file.
